Service reminders

Overview

Service reminders in Loopit help ensure timely maintenance by notifying you when a service is due. Setting up service reminders involves three main steps:

  1. Define the service plan template.

  2. Add a service schedule to an asset.

  3. Set up alerts for when a service is due.

Steps

Define the service plan template

A service plan template determines the rules for triggering service reminders.

It can be:

  • Time-based: e.g., every 12 months

  • Odometer-based: e.g., every 10,000 km (increments of 10,000 km, such as 10,000, 20,000, 30,000)

To Create a Service Plan Template:

  1. Navigate to /settings/service-plans.

  2. Click New Service Plan.

  3. Fill out the form with the relevant details and click Save.

Add Service Schedule to an asset

To apply the service plan to an asset:

  1. Go to the asset, select the Services tab, then go to the Schedules sub-tab.

  2. Click the + button in the top right corner and select Service Schedule.

  3. In the dialog, select the start date and the service plan defined in Step 1, then click Save.

Set up alerts for when a service is due

Configure an alert to notify you when a service is due on an asset.

  1. Navigate to /settings/workflows.

  2. Use the predefined template to create a task.

  3. Select Asset Service Reminder Created.

  4. (Optional) Edit the workflow to send email alerts.

Trigger a Service Reminder

Test

To test the service reminder functionality using an odometer-based plan:

  1. Follow the setup steps above.

  2. Go to an asset with an odometer-based service schedule.

    • Note the next service is due at 24 km.

  3. Click the Meter Readings tab.

  4. Click the + button, select Meter Reading, enter a reading of 24 km or higher, and click Save.

Viewing Triggered Alerts

  1. Go to the workflow’s Run History tab to see triggered alerts.

  2. The service reminder will also appear in the Reminders tab.
