# What is Loopit?

Loopit is a next generation mobility platform which helps fleet owners, rental car companies, dealerships, OEMs and asset owners to monetize, manage and track their fleet of assets.

Loopit modularity and flexibility helps your business adapt to the changing needs of your customers, allowing you to innovate on mobility offerings whilst helping you scale your business through smart automations and work flows.

Loopit is made up of three modules:

* **Fleet** - Track, record and monitor the end to end lifecycle of your fleet from acquisition to disposal. The Fleet modules comes with everything you'd expect from a robust, modern fleet management tool including inspection tools, issue tracking, cost management, journey tracking, preventative maintenance and more. The Fleet module helps you optimize your asset profitability and utilization across your business.
* **Booking -** Schedule and book your assets out to internal staff, retail customers, corporate customers, maintenance and more with ease. You are also able to build your own custom sign up and screening processes best suited to the offerings and use cases at hand.
* **Billing** - Support any mobility offering that you provide and innovate on. Whether it is a rental offering, a subscription offering, a novated lease offering, car sharing program or a corporate subscription, you name it, the Billing module will be able to support it.

### Key Concepts and Terminology

Loopit has a few terms that are used throughout the platform. Below are the key concepts to understand how we might differ from tools you have used in the past.

#### Assets

Assets are any inventory you wish to record and track in Loopit. Below is a list of some of the assets our customers are using Loopit to manage:

* Cars
* Vans
* Trucks
* Trailers
* Scooters
* e-Bikes
* Boats
* Commercial Machinery (eg Forklifts)
* and more!

Any asset type can be created and loaded into Loopit.  Within each Asset, Loopit will record a historical timeline of all activity associated with it. This includes Bookings, Inspections, Issues, and Journeys.

Each asset can be assigned to one or more categories.

#### Bookings

Bookings is the simple term to manage all of your asset reservations are out with a customer or internal staff member. This can be a rental booking, a subscription booking, a lease, and more. Anytime when you provide an asset that is being utilized, you should create a booking.

There are multiple statuses to a booking. Visit the Bookings article to learn more.

#### Categories

Categories are tags/labels for your assets. For example, you can label assets by class (such as small SUV), or by offering (such as Rental). Categories then form the grouping logic when it comes to pricing your assets and making your assets available to different offerings, programs, customers, screening rules and more.

For example, within Loopit, you can set up a package that are only eligible on certain vehicle categories. Alternatively, you can price vehicles by category name.

#### Companies / People

Companies and People are your individual customers. You may have a retail consumer renting a vehicle, or you may have a fleet booking with a company taking out multiple vehicles. Companies and People form the basis of Loopit's customer management tools.

People can be associated with multiple companies (if you desire).

Companies can have mulitple people belong to them.

Bookings can be placed against either a Company or Person.

#### Inspections

Inspections are conducted against Assets. These inspections can be conducted on either a schedule (for example, every 6 months) or on a handover of a vehicle (for example when a customer picks up or returns an asset).

Each inspection conducted is based off an **Inspection Template**. These inspection templates can be created and customized in your workspace.

#### Locations

Locations are nested under **Workspaces** which helps categorize and define different pickup and drop off locations and/or warehouses that you may offer to your customers.  Locations are a core part of reporting and allow you to segment your data e.g. Revenue per location.

#### Packages

Packages are the offerings that you provide to your customers. These can be paid offerings or non-paid offerings (for example, internal staff booking of a vehicle).

Within each package, you can define the charges that are applicable to the program that you have. If you have tiered packages (such as a low, medium, high tier offering for subscription), you will need to create one package per tier.

Loopit's package system is very powerful as it can define asset categories for eligibility, usage charges and rules, screening requirements and more. Further information can be found in the Packages page.

#### Programs

Programs help control the packages and how customers create a booking.  Programs include subscription, rental, recurring long term rental, loaner vehicles, etc.  To learn more visit the programs page.

#### Users

Users are your internal staff members who need to use Loopit to operate, report, track and manage assets or customers. User accounts can be created and permissions set based on rules that you define.

#### Workspaces

Workspaces are the container that will hold all the information for your business. All data within the workspace is contained and segregated.  [Read more about workspaces](/getting-started/setting-up-loopit/multiple-vs-single-workspaces).

# Logging into Loopit

This guide explains how to log in to your Loopit account, whether you’re a first-time user or a returning user. Follow the steps below to ensure a smooth login experience.

## Steps for First-time Login

Welcome to Loopit! Follow these steps to log in to your account for the first time:

1. **Invite to Workspace via Email**
   1. Check your email inbox for an invitation from Loopit (sent to the email address provided by your administrator). The subject contains "Loopit Invite".
   2. If you don’t see it, please check your spam or junk folder.
2. **Set Up Your Password**
   1. Open the invitation email and click on the link to Join the Workspace.
   2. You will be prompted to set up a secure password for your account via 'Change Your Password'.\
      **Note:** please use a new (unused) password for your Loopit account.
3. **Login to Loopit**
   1. Once you’ve set your password, go to the Loopit login page at <https://dashboard.loopit.co>.
   2. Enter your email address and the password you just set, then click **Continue**.

1. In the "Email" field, enter the email address associated with your Loopit account.
2. In the "Password" field, enter your account password.

> **Note**: If you [are logging in for the first time](#first-time-log-in), you should have received a welcome email with a link to set up your password. Be sure to complete that step before attempting to log in.

### Step 3: Click "Login"

Once your credentials are entered, click the **Login** button to access your account.

#### Troubleshooting

# Multiple vs Single Workspaces

### One workspace or multiple live workspaces?

There are two key use cases to consider when to create more than 1 workspace

1. **Multiple Locations Under the Same Brand:**

   If your business operates multiple rental locations under a single brand and you want to share customer data across all these locations, a single workspace is the ideal choice. This unified workspace simplifies customer management, allowing seamless access to shared information.

   **Example:** Imagine you have five rental locations all operating under the same brand name. Using one workspace ensures that customer data, reservations, and other critical information are easily accessible and consistent across all these locations.
2. **Distinct Brands or Segregation of Data:**

   On the other hand, if your business manages two or more distinct brands or you need to maintain strict segregation of customer data between different entities, creating separate workspaces is the way to go. This approach ensures that customer information remains isolated, preventing any unintentional data sharing between these distinct brands.

   **Example:** Let's say you run two entirely separate rental businesses with distinct branding, pricing structures, and customer bases. By creating two separate workspaces, you ensure that customer data remains completely independent, safeguarding the unique identity and integrity of each brand.

### How do you switch between workspaces?

To switch to a different workspace click on the current workspace name in the menu bar and select your new workspace.

### Testing and demo workspaces

Within Loopit you have the flexibility to create any number of demo workspaces.  Demo workspaces allow you to have an *isolated* playground for testing new packages, settings and workflow configurations without any live payment processing or impact to your live workspace.  They are useful when onboarding new members to your team.&#x20;

No data is shared between demo and live workspaces, they are fully isolated from one another.  Any fleet, packages or configuration will need to be manually recreated in your live workspace.

### Is my Loopit login shared across workspaces?

Yes, your Loopit login credentials, whether it's your email or social provider like Google, are shared across multiple workspaces. This shared login authentication allows you to seamlessly navigate between different workspaces to which you have been invited.  This saves you from having to remember multiple logins.

While your login information is consistent, the data and permissions within each workspace may vary depending on your role and access level. Always be mindful of your workspace-specific responsibilities and access rights as you navigate between them.


# Configure Your Workspace

When you first log into Loopit, one of the first steps you should do is to configure the Workspace for your business. These will help you set up the building blocks for your business and program within Loopit.

There are a number of core areas you should set up:

# Workspace Details

Your workspace settings in Loopit allow you to tailor the platform to your business needs.

## Accessing Workspace Details

## Updating Other Workspace Details

While customising your workspace, you can adjust the following settings:

* **Timezone**: Set the timezone for accurate scheduling and time tracking.
* **Default Odometer Units**: Choose between kilometres and miles for consistent reporting.

## Updating Your Logo

Adding your company logo can personalise your Loopit workspace. Follow these steps:

1. Locate the **Logo Upload** field at the bottom of the Workspace Details section.
2. Click the **Upload Logo** button.
3. Choose an image file from your device. Ensure the logo meets these requirements:
   * File format: PNG, JPG, or JPEG
   * Recommended dimensions: 300x300 pixels
   * Maximum file size: 5 MB
4. Once uploaded, a preview of your logo will appear.&#x20;
5. Click **Save** to finalise the update. Your logo will now be visible across your workspace and in your [contract template](/settings/contract-templates).

### 💰 Direct Vehicle Rates and Category-Based Pricing

**Before**: Additive Pricing Model (Plan + Vehicle Premium)

In 1.0, the total vehicle cost was calculated by combining a subscription plan rate with a separate vehicle premium. This worked well for subscription use cases but became restrictive for broader rental applications.

**✅ Now in 2.0**: Each vehicle now has its own direct rate, and you can also define default rates by vehicle category (e.g., Economy, SUV, Luxury). Vehicles inherit category pricing by default but can be individually overridden as needed.

**Why?** This approach makes Loopit a true multi-modal platform, equally capable for rental, leasing, and subscription services. You gain finer control over pricing strategies without relying on additive structures—and can still achieve the same ultimate outcomes, now with more precision and flexibility.

### 🔄 Structured, Flexible Customer Lifecycle Management

**Before**: Immediate Booking Confirmation

In 1.0, when a customer submitted a booking request, it was automatically treated as **confirmed**—even if eligibility checks hadn’t been completed or vehicle availability changed. This often led to uncomfortable back-and-forth conversations with customers and resulted in vehicles being prematurely locked out of availability, hurting fleet utilisation.

**✅ Now in 2.0**: Loopit 2.0 introduces a clearer customer lifecycle flow with new stages: **Quoted**, **Requested**, **Confirmed**, **Active**, and **Ended**. These lifecycle statuses give your team better control over when a booking is actually confirmed and when a vehicle is actually reserved, while still keeping the process flexible enough to suit your internal operations.

**Why?** This change introduces structure without unnecessary rigidity—helping you prevent misunderstandings, improve vehicle utilisation, and manage customer expectations more professionally, much like a CRM.

### 🧾 Establishment Fee Configuration

**Before: Preconfigured and Inflexible**

In 1.0, the Establishment Fee was a fixed, preconfigured field with no ability to modify the name, amount, or logic. It applied uniformly across all bookings, limiting how providers could tailor their onboarding costs or fee strategies.

**✅ Now in 2.0: Fully Configurable Charges or Deposits**

With 2.0, you can use the advanced billing engine to configure an Establishment Fee as either a **Charge** (billed post-activation) or a **Deposit** (billed pre-activation). You’re no longer locked into rigid defaults—instead, define your own fee structures, naming conventions, tax settings, and timing logic to suit your operational or marketing objectives.

**Why?** This shift gives you the freedom to align fees with your go-to-market approach. Whether you want to front-load costs as a commitment mechanism or charge post-activation for transparency, the choice is yours. It’s another way Loopit 2.0 adapts to your business—not the other way around.

### 📈 Smarter Pricing Recommendations (Coming Soon)

**Before**: In-Platform Vehicle Pricing Suggestions

In 1.0, Loopit provided automatic vehicle premium suggestions based on a calculation tied to a fixed plan price. While the pricing calculator was designed to be robust, it often defaulted to a simple range of around 0.3%–0.4% of the vehicle’s retail price. It also had limitations—such as assuming a base subscription plan price of $170—which didn’t suit every customer and sometimes resulted in premiums of thousands of dollars.

When using **Stripe** as your payment gateway through Loopit, a small portion of each transaction is automatically allocated in real time toward your Loopit invoice. This reduces your invoice balance at the end of the billing period and supports a more predictable and transparent billing experience.

## How it works

Each time a Stripe payment is processed through the Loopit platform, a **portion of the transaction (typically 2.5%)** is automatically set aside and credited against your Loopit invoice.

This appears on your **Stripe payout reports** as a line item called **“Loopit Application Fee.”** These allocations are pooled throughout the month and reflected as a **credit note** on your next Loopit invoice.

> For example, allocations collected throughout **July** will appear as a credit on your **July invoice**, issued in **early August**.

This allocation applies only to payments processed through **Stripe via Loopit**. Other payment methods (such as direct debit, EFT or BPay) are not included in this mechanism.

## Purpose of Real-Time Allocation

This real-time allocation approach supports:

* **Reduced end-of-month payments** by offsetting part of your invoice balance automatically
* **Simplified reconciliation**, with clearer visibility into how and when platform fees are collected
* **Operational continuity**, especially during periods of high transaction volume

All other charges on your invoice (e.g. for fleet, checks, telematics or insurance add-ons) will continue to appear in full. The allocated Stripe amounts are applied automatically as part-payment.

## In the case of arrears

If your account falls into **arrears**, the real-time allocation for each Stripe transaction is **temporarily increased**. This consists of:

* The standard **2.5% platform fee**, plus
* An additional **prepayment** to assist in reducing the overdue balance, based on the size of arrears, and typical transaction volumes

Once your account is back in good standing, the allocation reverts to the standard 2.5%.

This process is automated and ensures continued service while supporting gradual recovery of any overdue amounts.

## What is the Fleet Usage Fee?

The Fleet Usage Fee is a per-vehicle charge that covers your ongoing use of the Loopit platform to manage your fleet.

This fee uses a tiered pricing model — meaning the more vehicles you manage, the lower your per-vehicle cost. It’s designed to reward scale and provide larger fleets with better value.

You’ll see this fee itemised on your monthly invoice, based on the number of active vehicles in your account.

### Here’s what happened:

Loopit normally applies the tiered model for Fleet Usage Fees — charging your fleet in brackets, with a fixed per-vehicle rate within each tier. This ensures a fair and scalable cost structure.

However, in our most recent invoice cycle, a volume-based billing method was mistakenly applied. Instead of pricing each tier separately, the lowest rate was applied across your entire fleet.

Loopit Damage Cover is a fully integrated, CGU-underwritten protection product tailored specifically for the unique needs of car subscription and rental businesses. Unlike traditional fleet insurance, Loopit Damage Cover is purpose-built for usage-based billing models and automatically applies cover only on the days a vehicle is actively subscribed.

### Fees

* **Monthly Damage Cover Fee:** A recurring fee charged per vehicle, per month. This fee is pro-rated daily according to actual usage within the month and will appear on your regular Loopit billing.
* **Annual Fee:** A non-refundable yearly fee of $1,200 is charged per customer for access to the Damage Cover product. This fee is invoiced in advance and covers the 12-month access period.

### Rentals/Subscriptions

* No cover for vehicles rented via Peer-to-Peer (P2P) platforms
* Cash rentals are not covered
* Credit card rentals must be authorised prior to vehicle handover. The cardholder must match the renter or co-renter.

### Identification Requirements

In the event of a theft claim, cover may be denied if the subscriber/renter’s identity was not verified with:

* A valid driver’s licence or passport (with photo), **and**
* One additional form of ID (credit card, Medicare card, or other photo ID)

### Eligible Vehicle Categories

Damage Cover is available for the following types of vehicles only that have a value of $75,000 or less:

* Passenger – Electric vehicles
* Passenger – Standard vehicles
* Passenger – People movers
* Passenger – SUV\ <br>

The following vehicles are **excluded** from cover:

* Exotic vehicles, American muscle cars
* Buses, trucks, prime movers, semitrailers, B-doubles, road trains

### Cover for your vehicle

Damage Cover provides indemnity for loss or damage to your vehicle within Australia.  The maximum that is covered in respect for any one loss or all losses arising from one event is $1,000,000, less any applicable excess. Loopit or its insurer may choose to:

* Repair the vehicle
* Replace the vehicle
* Pay the agreed sum insured

### Specific Exclusions (Liability)

Liability cover will not apply if:

* The vehicle is used as a Tool of Trade
* The incident is caused by pollution or waste discharge
* The damaged property is in your custody/control (unless under $100,000 and not owned by you)
* The claim involves fines or penalties
* The incident involves compulsory third party (CTP) insurance events
* The injury/death is to the driver, your employee, or family member
* The vehicle is registered in the Northern Territory
* The vehicle is not registered for use on a public road

# Removing your fleet

How to remove an asset from your fleet in Loopit

Once an asset has been associated with a booking in Loopit, it cannot be deleted from your account. This is because historical booking and financial records rely on that asset data to remain accurate and auditable.

If you no longer wish for an asset to be available for future bookings, you can **archive the asset or disable it from your active fleet.**

### Archiving an Asset vs Disabling Booking

## Why can't I delete an asset?

Loopit maintains asset data for any asset that has ever been used in a booking to ensure the accuracy of historical reporting, invoicing, and audit trails. Deleting these assets would compromise data integrity.

## Need an asset permanently removed from your account?

If you have assets that were added in error and have **never been used in a booking**, we may be able to delete them for you. Please send a list of the relevant **VINs or Rego numbers** to your Customer Success Manager or support team. We’ll review and, where possible, arrange deletion through our engineering team.

# Odometer Readings

The **Odometer Readings** section helps you keep vehicle mileage accurate and up to date.\
Loopit automatically estimates odometer values based on telematics trip data, while allowing you to manually record actual readings whenever needed.

#### Adding an Odometer Reading

You can add an actual odometer reading at any time to improve accuracy.

1. Navigate to the **Fleet** module and select the relevant vehicle record.
2. From the vehicle record, select the **Odometer** tab.
3. Click **Add Odometer Reading** in the bottom right corner.
4. Enter the **Exact Odometer Value** as shown on the vehicle dashboard.
5. Click **Save**.

Once saved, this will appear as an **Actual** reading and become the new baseline for future estimates.

#### Actual vs Estimated Readings

Loopit distinguishes between two types of odometer readings:

After each actual reading, Loopit continues to **estimate odometer values** by accumulating telematics trip data until the next actual reading is recorded.

#### How Loopit Handles Telematics Data

Loopit does **not** use the odometer value reported directly by a telematics device. Instead, Loopit calculates an estimated odometer reading based on **trip usage data** collected every 30 minutes.

Each trip record is validated for feasibility:

* Trip data that represents **unrealistic distance travelled within a 30-minute period** is automatically ignored.
* This prevents errors caused by device misreporting, poor GPS signal, or when telematics devices are moved between vehicles.

This ensures that estimated odometer values remain consistent and realistic over time, even when telematics data is imperfect.

#### Odometer Validation Rules

To maintain accuracy, Loopit enforces a few key validation rules when you enter or update odometer readings:

* An **actual odometer reading cannot be less than a previous actual reading**.
* An **actual odometer reading can be less than an estimated reading** to correct for small inaccuracies that naturally occur over time.

#### Handling Odometer Readings in Contracts

The **current odometer reading** shown at the top of the vehicle record—whether **actual** or **estimated**—is automatically used to populate odometer-related fields in contracts, agreements, and booking documents.

Because odometer readings can be estimated between actual updates, Loopit recommends that operators include a clause in their standard agreements clarifying that:

> **“Odometer readings may be estimated based on telematics data and may not reflect the precise vehicle odometer at the time of contract.”**

The **most up-to-date odometer reading** is displayed at the **top of the Odometer Readings page** for each vehicle.

* **Estimated**, if the most recent update was calculated using telematics trip data.

The displayed value always represents the latest known odometer reading for that vehicle and is automatically used to populate any **contract or agreement fields** that reference odometer data.

# Tracking devices

To use tracking devices you need to integrate with a telematics provider, see [here](/settings/integrations#telematics-providers) for a list of currently supported providers.   Once you have connected your provider, [example Geotab setup here](/settings/integrations/geotab), with Loopit you can add a tracking device to one of your fleet.

### Attach a tracking device to a vehicle

1. Navigate the vehicle and select "Tracking Device" from the "actions" menu at the top right.
2. Units - miles or kilometers.
3. Telematic provider - select the connection the device uses
4. Enter the serial number
   1. **If the device was previously attached** to a vehicle in your workspace it will show here as an option to select
   2. **If this device has not been added to your workspace before**, you will see an option to "Create and verify device with serial number XXX".  Once you click on this we will verify the serial number with the provider.  If the serial number is invalid a warning will show and you will need to double check the entered serial number
5. Press save

### Last known location

If the device provider has a latitude and longitude of where the vehicle last was detected we will save this and show it on the map on the Overview page for a vehicle.

Once a device is removed, the last known location pin on the map will remain at the position we last stored prior to the device being removed.

### How often is device data updated?

When a device is attached to a vehicle we attempt a data retrieval every 30 minutes.  If the odometer reading has changed we insert a new [meter reading](/assets/tracking/odometer-readings) against the vehicle it is attached to.  If the odometer has not changed no new meter reading will be saved as part of this data retrieval.

Once a device is removed from a vehicle we will not attempt to get updated data from the device.

### Devices overview

To view all devices within your workspace go to Settings > Tracking from the menu.  From here you will be able to see all devices attached, as well as a link to the vehicle, or previously attached to a vehicle as well as when a reading was last taken.

## Where to view existing Maintenance Windows

You can view scheduled maintenance windows in two places:

* **Calendar View:** Go to the **Bookings** tab of the asset and select **Calendar View**.
* **Maintenance Window tab:** Within the **Bookings** tab, select the **‘Maintenance Window’** tab to view a list of all scheduled maintenance periods.

# Issues

Issues allow you to log and track repairs or investigations with an asset, for example a broken headlight that needs to be fixed or an engine warning light that needs to be diagnosed.

Each issue can be assigned any status that suits your workflow, the only status we require to enable reporting is "Completed"

### Overview of issues

The issue overview panel, available on the asset issues page and the main issues list for all assets, allows you to get a quick glance of what needs actioned.  Key statistics we show

* **Open** - number of issues that either new or in progress
* **Unassigned** - number of issues that need assigned to someone to action
* **Due today** - number of issues that have a due date of today
* **Most common category** - insight to the type of issue impacting your fleet the most

### Adding issues

To add an issue you can hover over the issues menu option and click the "+" icon or alternatively you can go to the Issues tab on an asset and select Add Issue from the "+" quick action menu.

### Changing an issue status

To change the status click on the issue and then select your new status.  Once done press Save.

### Creating a custom status or category

Loopit allows you to customise the status options and categories for your issues.  This allows you to align our platform to your internal processes.  To enable accurate reporting we do require to at least have a "Completed" status.

To create a new status or category begin typing your required value into the search box.  If this status does not already exist an option "Create new XX status" or "Create new XX category" will appear.  Click this option and the status or category will be created.

Service reminders in Loopit help ensure timely maintenance by notifying you when a service is due. Setting up service reminders involves three main steps:

1. Define the service plan template.
2. Add a service schedule to an asset.
3. Set up alerts for when a service is due.

# Price Overrides

## Overview

In the system, a **Package** consists of multiple charges, each with its own configured prices. These prices can be overridden at different levels, providing flexibility based on categories and assets.

# Customizing Charge Pricing Across Packages, Categories, and Fleet

By default, all vehicle categories and fleet will inherit the standard value of any charge configured at the package level.

For example:\
If you create a charge called **"Child Seat"** at a value of **$10**, then any booking that adds a child seat — across any vehicle — will automatically apply the $10 fee.

However, Loopit also allows you to introduce **price overrides** at both the **category** and **fleet** levels.\
This means you can customize the standard pricing for specific vehicles or groups of vehicles.

For example:\
You might configure the **"Child Seat"** charge to **$20** for fleet associated with the **SUV** category, while all other vehicles continue to charge the standard **$10**.

This functionality provides significant flexibility to tailor your pricing strategy based on vehicle type, customer segments, or operational requirements.

## Common Use Cases for Price Overrides

### 1. Set Custom Excess Amounts by Fleet Type

**Scenario:**\
Luxury vehicles often require higher excess (deductible) amounts compared to economy models.

**How to configure:**

* **Create an Excess Charge Type:**\
  Add a new charge called **"Excess"** and set the charge type to **"Ad Hoc"**. This ensures it can be added only when needed.
* **Set a Default Value:**\
  Define a standard excess amount to be inherited across all vehicles.
* **Override the Value by Category or Fleet:**\
  From the **Price Overrides** tab in the package, update the excess charge specifically for luxury categories or specific fleet (e.g., setting SUVs at $2,000 excess while hatchbacks remain at $1,000).

### 2. Increase GPS Hire Fees for Premium Models

**Scenario:**\
Customers renting premium vehicles may expect higher-end GPS systems, justifying a higher hire fee.

**How to configure:**

* **Create a Charge:**\
  Add a charge called **"GPS Unit"** with a standard package value, e.g., **$15** per rental.
* **Override Pricing:**\
  Set the **GPS Unit** price to **$25** for fleet in the **Prestige** or **Premium** categories.

  Increase the refill fee to **$80** for fleet in the **Van**, **SUV**, or **Commercial** categories.


# Package-level Prices

## Overview

A **Package** consists of multiple **Charges**, each with its own billing and pricing model. Users can configure different pricing structures based on the combination of billing and pricing models to accommodate various business needs.

For example, in the screenshot below, the Base Fee charge is configured with an Ongoing billing model and a Flat-Fee Pricing model, with rates set at $50 per day, $250 per week, and $1,000 per month.

# Bulk Asset-level Override

## Overview

Bulk overrides allow users to modify the pricing for assets.

### Steps to Bulk Override Prices

1. Enable the 'Bulk Assets Packages Pricing Management Enabled' feature flag. Once enabled, the import and export buttons will appear at the top of the packages list page.\

2. Set preferable item for pricing
   * In the Settings section, an existing item can be edited and designated as the preferred item for pricing.
3. Export
   * Exporting generates an Excel file containing all assets along with their packages and prices across all billing frequencies. By default, export prices is based on the minimum term. If no default minimum term is set at the package level, the first available minimum term from the selected options is retrieved.
     * Migrated packages are not considered in the export.
     * Exported price: If prices are overridden at the asset level, that prices will be exported. If not, prices set at the category level will be exported. Otherwise, prices of the preferred item will be exported.
     * Currently, the exported prices always includes tax. Tax rules are not applied; instead, the price is multiplied by 1.1.\

4. Import
   * The exported file can be modified to update pricing and then imported back. Typically, the asset is identified using the 'vin' field, and the price is overridden in the preferred pricing item for that asset within the package.
   * During import, prices are always treated as tax-inclusive. When prices are overridden, the provided prices are divided by 1.1 before being updating.
   * Only assets with details provided in the file will be updated. If the price remains unchanged, no update will occur.


# Asset-level Ultimate Override

## Overview

Asset-level ultimate price overrides enable users to apply a final price adjustment for charges at the asset level. These overrides are specific to the selected asset.&#x20;

### Steps to Perform Asset-Level Ultimate Price Override

1. Contact the **Loopit support team** to enable the feature.
2. Navigate to the **Charge** section in the package form for the charge you want to override and toggle on "Override with asset fees" and then save the package.<br>

The booking system allows you to create, track, and manage reservations for your customers with ease, ensuring a seamless experience from start to finish. Whether you’re handling rentals, subscriptions, or other vehicle usage models, Loopit provides robust tools to manage the entire booking lifecycle efficiently.

# Lifecycle of a Booking

In Loopit, a booking changes over time between statuses. These statuses tie into many other systems on the platform, such as availability, booking rules, and reporting.

## Quote

A booking is in a quote status if a booking has started to be created but the signup flow was not completed in it's entirety. This represents an incomplete booking request. More information is required from the customer to confirm what they need from the booking.

## Requested

A booking is in a requested status if the booking signup flow was completed fully. This means that the customer has made their decision on the asset or category, collection details, package, program type, and add-ons. More information may be required on payment details and identity.  If using VIN based booking the asset is still available for other customers to request.

## Confirmed

A confirmed booking means you have accepted the booking and confirmed you have all relevant data and checks performed.  If using VIN based booking the asset is removed from the availability engine and it is not longer marketed in signup flows for the dates of the booking + any buffers. The contracts will be generated if the package selected has a contract template assigned.

## Activated

An activated booking is one where the asset is in the hands of the driver(s) and will continue to the end date, if there is one.

## Ended

An ended booking the end status of a booking that processed as normal. The asset has been collected and is free for another booking to collect.

## Cancelled

An cancelled booking is one that was once confirmed and is now no longer required.

## Declined

A declined booking is one that failed to transition from a request to a confirmed booking.  This may happen if the customer failed Trupass checks or your criteria.


# Lead Management

Effective lead management is critical to increasing conversion rates and ensuring consistent, scalable growth. Within Loopit, we offer a structured lead management process designed to help you manage customer enquiries at every stage of the journey — from initial interest to confirmed booking.

## The Lead Lifecycle in Loopit

There are four distinct stages in the lead lifecycle. Each represents a different level of detail and intent provided by the customer.

## Understanding the Lead Management Funnel

There are four key stages in the Loopit lead lifecycle. A record can enter the funnel at any of these points, depending on the information provided and how far the customer progresses through the online process.

### **Lead** – Initial Enquiry

A **Lead** is the most basic form of customer interest — typically just contact information without any booking or pricing details. Leads can enter the system in a few ways:

* A customer submits a lead form (e.g. Name, Email, Phone)
* A booking is started and customer details are provided, but abandoned before reaching the booking selection stage

At this stage, no vehicle, pricing, or booking details are available. The record exists to help your team follow up and qualify the customer further.

### Quote – Enquiry with Pricing

A lead progresses to a **Quote** when enough information has been provided to generate pricing. This includes both contact details and booking specifics such as duration, vehicle or category, and any other required inputs.

A Quote can be created when:

* A customer completes enough steps during the signup process to trigger pricing
* A team member manually generates a quote within the system

### Request – Submitted Booking

A **Request** is an unconfirmed booking that has been submitted but not yet approved or actioned by your team. Requested bookings can be found within the Bookings module.

This occurs when:

* The customer completes the full online booking flow *with* payment enabled
* The system captures all necessary booking and payment details

The booking is not confirmed until someone from your team reviews and approves it.

### Confirmed– Approved Booking

A **Confirmed** record is a completed booking that has been manually reviewed and approved. At this point, the customer is ready to take delivery of the vehicle.

Confirmed bookings mark the end of the lead lifecycle and represent a successful conversion.

# Creating a Booking

To create a booking, click on the "**New Booking**" button in the top right corner of the screen, next to your profile.

This will launch the "**New Booking Request**" screen.

### Search

The Search stage enables you to search for available inventory for your pickup and drop off location, time and dates. Loopit will automatically filter and show vehicles accordingly.

To view available inventory, first specify the pick-up location and date, as inventory availability depends on these details.

Select your desired preferences  and click on **Search**.

This will show a list of vehicles that match this criteria. Click on the **Select** button one of the vehicles to choose it to continue.

### Package

In the **Package** section, Loopit will automatically load the eligible packages that this vehicle has. This is configured from the [Settings -> Packages](/billing/setting-up-your-packages/packages/creating-a-package) section of Loopit.

The left hand side of the screen is persistent to show you details of this booking.

You can exit this and come back at any time. Loopit will have created this booking in Draft.

When you select a **Package** from the drop down, Loopit will then automatically pre-load any fees associated with it.

Hit **Save and Continue** to progress to the next screen.

### Customer

In the **Customer** screen, you can select the person who will be owning the booking, driving the vehicle and who will be paying for the booking.

The **Booking Applicant** is the person or company who owns the booking. If this Person or Company does not exist, you are able to create them in this booking flow.

The **Primary Driver** is the person who is driving the vehicle.

The **Bill To** person is the person or company who will be paying for the booking.

This allows you to handle different scenarios. A couple of examples where this is useful:

* An insurance rental where the owner of the booking is a repair shop, the driver is the person waiting for their vehicle to be repaired, and the Bill To is the insurance company paying for the booking.
* A business is both the booking owner and the Bill To of the booking and is allowing their staff to drive the asset
* An individual is the booking owner, driver and the Bill To contact (such as a short term rental).

Once you have selected the relevant parties for the Booking Applicant, Primary Driver and Bill To, click **Save and Continue**.

### Overview

In the second last screen, you are able to see the high level details of this Draft booking. From here you are able to either **Save Draft** to continue later or **Submit Request.**

**Save Draft** saves this booking and keeps it in Draft, allowing you to pick it up later.

**Submit Request** moves the booking into a **Pending Request** status in order for you to confirm the booking later. This is used for quotes that you can then send to customers.

### Success

Upon Submitting a Request the booking is in a **Pending Request** status, allowing you to continue to Confirm a booking.

The next stage after this is Confirming a Booking.


# Creating a booking

Bookings are used to manage all your asset reservations.

In Loopit, a booking has six stages:

* **Quote**
* **Requested**
* **Confirmed**
* **Activated**
* **Ended**
* **Cancelled**

# Confirming a Booking

During the confirmation process you can either approve the booking or ultimately decline the booking and stating a reason why it was declined.

To confirm a booking, navigate to a booking with the status of **Pending Request** and click on the **Confirm Booking** button.

At any point in time, you are able to click on **Decline** at the top right of the Confirm booking process. This is used if you decline the booking or want to cancel it based on your screening criteria.

### Asset

When you click on Confirm Booking, you land on the Asset page.

This screen allows you to confirm the particular vehicle you want to assign to the customer. Alternatively, you can change the asset by clicking the **Change** button.

Once you are happy with the assigned asset, click **Confirm** to continue.

### Licence

The licence section allows you to manually upload a driver's licence or request a licence from the Primary Driver. This step is optional and you are able to skip this step to complete at a later stage or send an email requesting the licence be supplied digitally by the primary driver.

If you wish to add a licence, click on the **Add Licence** box and a pop-up will show, allowing you to enter the details accordingly. Once added, click **Save & Continue**. Alternatively, if you haven't added a licence, click on **Skip Licence**.

### Payment

The Payment section allows you to request a payment method to be added by the customer digitally or you can manually enter the credit card details of the customer.

Once added, select the card and you can click **Save and Continue.**  No charges will be made against the card at this stage.

### Summary

The summary screen outlines the steps completed and highlights any steps that might have been missed or skipped.

Once you click confirm the asset/vehicle in a Reserved status. It will also put the booking in a **Confirmed** status which indicates the booking has been accepted and you are waiting for the customer to pick up the asset at the appointed date/time/location.

### Confirmation

The Confirmation screen shows when the booking is confirmed. From here you can navigate away or proceed to Activate the booking.

# Confirming a Booking

## Before Confirming

Before a booking can be confirmed, the system will validate that the booking is in the correct state before continuing. The following checks will be performed:

1. If drop-off details are added to the booking, check that the return date is in the future.&#x20;

   * If this check fails then the user will be prompted to edit the booking dates to continue

2. If a VIN is assigned, check that the asset is available.&#x20;

   * An asset is available if:
     * there are no other confirmed or active bookings during the period of the booking,&#x20;
     * the start date of the booking is not during the "end of booking" buffer period of a previous booking,
     * booking enabled is switched on for asset,
     * the asset is available at the selected location,

# Activating a Booking

An activated booking represents an asset being taken out. You would typically activate the booking at the time of handover or prior to delivery.&#x20;

To activate a booking, navigate to a booking that is in the **Confirmed** state and click on **Activate.**

Upon clicking the Activate button, Loopit will present a summary screen to provide you with an overview of the entire booking. Items that are missing (such as driver's licence if required) are flagged.

On the left hand side of the screen is a timeline of what will happen and when charges will occur.

Once you are happy, click **Activate** in the top right corner.

The booking will be activated, payment taken and you will be redirected to the Booking Overview screen. Here you can see details of the booking.

Clicking on the **Billing** tab will display the invoices and payments associated to this booking.

# Before Activation

Before a booking can be activated, the system will validate that the booking is in the correct state before continuing. The following checks will be performed:

1. If drop-off details are added to the booking, check that the return date is in the future.&#x20;

   * If this check fails then the user will be prompted to edit the booking dates to continue

2. If a VIN is assigned, check that the asset is available.&#x20;

   * An asset is available if:
     * there are no other confirmed or active bookings during the period of the booking,&#x20;
     * the start date of the booking is not during the "end of booking" buffer period of a previous booking,
     * booking enabled is switched on for asset,
     * the asset is available at the selected location,
     * there are no blocked dates against the asset e.g. for maintenance,
     * the asset's category is assigned to the selected package&#x20;
   * If any of these checks fail then the user will be notified that the asset is no longer available and prompted to Edit the booking to select a different asset

# Editing a Booking

Editing a booking in Loopit allows you to make changes to an existing reservation, ensuring flexibility and accommodating customer needs. Whether it’s adjusting dates, swapping vehicles, or updating payment details, Loopit’s intuitive interface makes it simple to modify bookings while maintaining accurate records.

## Why Edit a Booking?

Changes to bookings are a common part of fleet operations. Some typical reasons for editing a booking include:

* Extending or shortening the booking period.
* Changing the assigned vehicle.
* Updating customer details or contact information.
* Applying discounts or updating charges.

## Key Features of Editing a Booking

**1. Flexibility**

Edit bookings at any stage of the booking lifecycle—before activation, during an active booking, or when preparing to close.

**2. Real-Time Updates**

Changes are reflected immediately, keeping all stakeholders informed and ensuring operational accuracy.

**3. Integrated Tools**

Make edits while leveraging integrated features like contract updates, deposit adjustments, and payment recalculations.

**4. Audit Trail**

Loopit logs all changes, providing an audit trail to track updates and ensure accountability.

## What Can Be Edited in a Booking?

1. **Booking Dates**
   * Extend or reduce the duration of a booking.
   * Adjust start and end dates to fit customer needs.
2. **Assigned Vehicle**
   * Swap the current vehicle for another one in your fleet.
   * Ensure the replacement vehicle matches the same category or customer requirements.
3. **Customer Information**
   * Update personal details such as phone number or email address.
   * Add additional drivers or update licence details.
4. **Pricing and Deposits**
   * Apply discounts, promotions, or fee adjustments.
   * Modify deposit amounts or process partial refunds if necessary.

# Adjust the price

This page explains the steps to adjust prices for individual charge items within a booking. This feature allows users to edit the price by either a fixed amount or a percentage adjustment, which can be positive or negative. Once saved, the adjustments are visible on the Booking Overview page.

### Steps

1. Navigate to the Booking Overview page and select 'Edit Booking' to open the editing sidebar.
2. Click on any charge item to open the price adjustment dialog.\

# Schedule Booking Changes

The **Scheduled Booking Changes** feature allows you to plan updates to a booking that will take effect on a **future date**. This enables you to make changes without immediately impacting the current billing or booking configuration.

You can schedule a variety of changes to a booking that will take effect on a future date. These include switching to a different package, swapping the asset, changing the billing frequency, and adding or removing extras. These changes are applied automatically on the selected effective date, allowing you to plan ahead without impacting the current billing cycle or booking configuration.

### Billing Behaviour

#### No Pro-Rata on Billing Day

If you schedule the changes to start on the **same day as the booking’s billing day**, **no pro-rata charges or credits** will be applied.

* **Monthly Billing Example:**
  * Billing day is the **15th of each month**
  * You schedule changes to start on **May 15th** or **June 15th** → No pro-rata adjustments
* **Weekly Billing Example:**
  * Billing day is **Wednesday**
  * You schedule changes for any **Wednesday** → No pro-rata adjustments

In these cases, the current billing cycle ends, and the new charges start cleanly from the next cycle.

#### Pro-Rata Applied on Other Days

If the **effective date does not match the billing day**, the system may generate:

* A **pro-rata invoice** for new charges from the effective date to the end of the billing cycle
* A **credit note** for any unused portion of the old charges

You’ll be shown a **summary of these adjustments** before confirming the scheduled change.

### How to Schedule a Change

1. Go to the **Edit Booking** screen.
2. Make the necessary changes.
3. Select a **future effective date**.
4. Review the **Adjustment Summary** to see if any credits or charges will be applied.<br>

# Backdating Start Dates

Backdating allows you to set a booking start date in the past — whether you’re creating a brand-new booking or adjusting an existing one. This can be helpful when a vehicle has already been handed over, or when you need to correct booking records to reflect real-world events.

Below is an overview of how backdating works in Loopit and what to keep in mind when selecting historical dates.

### Backdating When Creating a New Booking

When you create a booking, the date picker allows you to select *any* date in the past. Loopit will automatically check vehicle availability for that date range based on historical utilisation, ensuring that no vehicle is ever double-booked.

A few things to note:

* **Historical availability is enforced** — vehicles show as available only if they were not already allocated during that period.
* **Lead times can be ignored** — if you have lead times configured, you can toggle **Ignore Lead Time** to allow selection of dates that would normally fall within your buffer period.
* Once a past date is selected, simply choose an available vehicle and complete the booking as usual.

### Backdating an Existing Booking

You can also backdate a booking that is already requested, confirmed or active.

1. Open the booking.
2. Select **Edit Booking**.
3. Adjust the **Handover Date** to a past date.

Loopit will again validate the vehicle’s historical availability. If the vehicle was booked or unavailable during a particular date range, those dates will not be selectable.

### Activating a Booking With a Backdated Start Date

If you backdate a booking that is *not yet active*, Loopit will prompt you to decide how to handle any unbilled days.

You will see a comparison between:

* The original scheduled start date
* The revised backdated start date
* The number of days between them

You can then choose:

#### **Charge for Unbilled Days**

Loopit will generate a single invoice covering all recurring fees applicable to the period between the backdated start date and the activation date.

#### **Do Not Charge**

No invoice is generated.\
This option is useful if you plan to handle charges manually or have more complex billing requirements.

### Important Behaviour to Understand

* **Historical availability is always respected.**\
  The same vehicle cannot be applied to overlapping bookings — including those backdated into the past.
* **Backdated dates become locked after invoicing.**\
  If you choose to charge for unbilled days, the revised start date becomes fixed and can no longer be edited.
* **If you do not invoice**, you may continue to adjust the backdated start date until billing has occurred.


# Backdating End Dates

* A customer returned a vehicle earlier than scheduled
* The booking wasn’t ended in Loopit at the time of return
* Operational delays or corrections require a more accurate end date

No matter the scenario, Loopit will always respect historical availability to prevent overlapping bookings.

#### If the date is within the current billing cycle

Loopit will calculate any unused days and give you the option to:

You will see a message explaining:

* The invoice for the current cycle will be **cancelled**

# Edit Fortnightly Billing Date

Loopit allows limited editing of the **fortnightly billing date** for active bookings. This feature helps align customer billing preferences while maintaining billing integrity. However, the ability to edit this date depends on the **booking status** and **type of change** being made.

* For **active bookings**, the billing date can be updated if it's the **only change** being made.
* If the booking changes includes an **asset swap**, the billing date becomes **locked** and remains **unchanged**. Billing day changes are **not allowed** in the same edit.
* For **requested or confirmed bookings**, the billing and effective dates are **locked** to the asset handover date and **cannot be edited**.

# Extending a rental Booking

You can extend an existing (**active**) rental booking in Loopit as long as the **only change** is to the **drop-off date**. If you are also **changing the package** (e.g. upgrade or downgrade), this triggers a different billing behaviour that requires additional steps such as issuing a credit note and a new pro-rata invoice.

## When Can You Extend a Rental Booking?

You can extend a booking **without triggering a credit note** **only if**:

* The **package remains the same**
* You **schedule the change** to take effect **on the new drop-off date**

* **The original booking**: 30th of July – August 2nd
* **The customer request**: On 1st of August, the customer asks to extend the rental to August 3rd (+ 1 day)

* Creates a **pro-rata invoice** covering the period from July 30th - August 1st

This can complicate billing reconciliation and reporting, especially if only a small extension is made.

## Changing Packages? Additional Steps Needed

If the customer **wants to extend and also switch packages**, then you’ll need to:

1. **Issue a credit note** for the unused period of the original package
2. **Calculate a pro-rata invoice** for the new package
3. Make sure billing aligns with the pricing of the new package

This ensures accurate financial reporting and revenue recognition.


# Pausing a Booking

The **Pause Booking** feature in Loopit gives you the flexibility to temporarily pause a customer’s active booking and resume it later—perfect for handling vehicle servicing, customer requests, or unforeseen events.

## What is a Paused Booking?

A **Paused Booking** is a booking that has been temporarily placed on hold. While paused:

* No invoices are generated
* No payments are processed
* The booking cannot be edited
* The customer retains their current booking arrangement

This is typically used when a customer plans to continue their booking, but a temporary interruption is needed—such as waiting for a vehicle replacement or resolving a mechanical issue.

## When to Pause vs When to End a Booking

Knowing when to pause a booking versus when to end it can help you keep your billing accurate and your operations running smoothly.

### **✅ When to Pause a Booking**

As a general rule, **pause a booking only if the booking is likely to continue**.

**Example scenarios:**

* The vehicle has a mechanical issue and the customer is waiting for a replacement.
* The customer has requested a temporary hold but intends to resume.

**Why pause?**\
Pausing stops invoicing and payments without closing out the booking, so the customer can easily pick up where they left off.

If the booking is **unlikely to continue**, it’s better to **end the Booking** rather than pause it.

**Example scenario:**

* A vehicle is returned with damage, and you're waiting for repair costs.

In this case, **don’t pause**—instead, end the booking. Loopit allows you to:

* Raise charges (e.g. for damage) even after a booking ends
* Retain credit notes and deposits on file

This approach keeps your records clean and avoids confusion in reporting or billing.

When a booking is paused, Loopit calculates the unused portion of the invoiced period and issues a **credit note** accordingly. In some cases, a **prorated invoice** may also be generated when the booking resumes.

**Scenario 1: Pause and Resume Within the Same Billing Cycle**

* Example: A weekly booking from **12–18 May** is paused on **13 May** and resumed on **16 May**.
* Loopit will:

## Tracking Paused Bookings

To help you manage paused bookings effectively, Loopit provides clear visibility into how long each booking has been in a paused state.

* The **number of days paused** is displayed in both:
  * The **booking action menu**
  * The **booking table view**

This makes it easy to identify which bookings are currently paused and for how long—helping you avoid situations where a booking is unintentionally left paused and not collecting payments.

* All **pause and resume actions** are recorded in the **booking timeline**, showing:
  * The exact date and time the pause or resume occurred

# Ending a booking

A booking can be ended when the status is active.

A booking can be cancelled when the status is one of the following;

When a booking is confirmed any future **draft** invoices will be marked as void and cancelled.  Any invoice that has already been Issued will remain as issued as well as any payments.  If you wish to refund the customer please go to each invoice to refund and void.

# Deposits

Deposits in Loopit are a flexible and secure way to manage upfront payments for car subscriptions and rentals. They serve as a safeguard against potential damages, excess charges, or unpaid invoices. This feature provides a seamless process for configuring, collecting, and managing deposits, ensuring both you and customers have a clear and transparent financial agreement.

### Key Features of Deposits

1. **Customisable Deposit Amounts**
   * You can set a default deposit amount for all bookings.
   * Deposits can also be adjusted on a per-customer or per-booking basis, offering flexibility for individual circumstances.

# Collecting deposits

Deposits are an important part of managing risk and ensuring security when offering car subscriptions and rentals. Loopit allows you to configure, collect, and manage deposits with flexibility. This guide will walk you through how to set up and manage deposits within the Loopit platform.

## Configuring Deposits

### **Navigate to Settings**

* Log in to your Loopit account.
* Go to the Settings menu.

### **Select Packages**

* Click on Packages to manage the subscription or rental plans available to customers.
* Choose the package you want to associate a deposit with.

### Set Deposit Amount and Type

* Scroll down to the Charges and Deposits section.
* Click on Deposits to access the deposit configuration settings.
* You can define multiple deposit types. While many providers use a Security Deposit, you can also configure a Credit Note Deposit to handle upfront subscription payments.
* Specify the deposit amount and choose the appropriate handling type.

## Choosing How Deposits Are Charged

Loopit provides flexibility in how deposits are processed, allowing you to choose the method that best fits your business model:

### Hold Payment vs. Charge vs. Credit Note

* **Hold Payment:** Places a temporary authorisation on the customer’s payment method without withdrawing funds. Best for short-term damage excesses or minor incidentals.
* **Charged Deposit:** Deducts the funds from the customer’s account to be held as collateral, which can be refunded later.
* **Credit Note Deposit:** Collects the funds upfront and automatically converts them into a standing credit balance.&#x20;

## Deposit Timing

* Deposits can be collected at the time of booking, before vehicle pickup, or on the start date of the subscription/rental.
* You can stack different types—for example, taking a Security Deposit Hold for asset protection and a Credit Note Deposit for upfront payment simultaneously.

### Choosing When Deposits Are Charged

It is possible to have your customers pay a deposit as part of the booking application process, or at the time of activation, in order to secure their vehicle.

When configuring a new deposit charge type against a package, you can choose between two options:

* Booking Confirmation: The deposit will be processed upon successful submission of the booking application.
* Booking Activation: The deposit will be processed when the booking is activated.

### Collect Deposit On Application

This configuration will automatically charge any configured deposit during the initial application process.

### Set Collect Deposit On

* Click on Packages to manage the subscription or rental plans available to customers.
* Choose the package you want to configure the deposit for.
* Select Deposits from the Charges and Deposits section.
* Set the applicable deposit type (e.g., Credit Note) to Collect Deposit On: Booking Confirmation.

### Configure Website Booking Settings

* Go to Settings, then select Booking Rules.
* Select the Program Type that you want to configure deposit collection for.
* From the Website tab, ensure Collect Deposit is selected.

### Managing Credit Note Deposits

When a Credit Note Deposit is collected, Loopit automates the accounting and application process to ensure your ledger stays balanced:

* Automatic Conversion: The system generates a valid Credit Note as soon as the deposit is processed.
* Drawdown Priority: Loopit will automatically apply this credit to the customer's first invoices. The customer’s payment method will only be charged once the credit balance reaches zero.
* Accountant Friendly: Because these are handled as Credit Notes rather than static bonds, revenue recognition and tax reporting are streamlined for your finance team.

# Hold (Temporary Authorisation)

A Hold Payment (often referred to as a "Security Hold") is a temporary authorisation placed on a customer’s payment method. Unlike a charged deposit, this method ensures funds are available without actually withdrawing them from the customer's account.

* Authorisation: Loopit places a temporary hold on the specified amount (e.g., $500) at the time of booking or activation.
* Duration: These holds typically last for a set period, such as seven days, before they expire.
* Usage: This type of deposit is ideal for covering potential damage excesses, traffic fines, or minor incidentals while ensuring the customer is not out-of-pocket for the full amount upfront.

* Asset Protection: You verify that the customer has the necessary funds available before they take possession of the vehicle.
* Customer Experience: Since the funds aren't physically deducted, it reduces the immediate financial impact on the subscriber.
* Flexibility: You can choose to collect the hold at the time of Booking Confirmation, Booking Activation, or on the Start Date.


# Charge (Immediate Payment)

A Charged Deposit is a payment type where funds are physically deducted from the customer’s account and held by you as collateral. This provides a higher level of security than a temporary hold, as the funds are secured in your account for the duration of the subscription or rental.

**How it Works**

* Immediate Transaction: Unlike a hold, the deposit amount is fully processed and withdrawn from the customer's payment method.
* Collateral Management: The funds are held as a security bond and can be refunded back to the customer's account based on their account status at the end of the booking.
* Configurable Timing: You can choose to trigger this charge at Booking Confirmation or Booking Activation depending on your specific risk strategy.

# Credit Note (Applied to Balance)

# Referral source tracking

Loopit allows you to track how you are being found by your customers by using our referral tracking feature.  Common use cases;

* Asking how people found you
* Tracking referral partners
  * Example; you may want to track which crash repair shops are referring customers or bookings to you.

### How can I see the referral source of a booking?

To view the answer customers gave you can navigate to a booking and from the summary display it will show the referral source.  If the customer skipped answering the question, as it is optional during signup when enabled, it will show as "Not Set" otherwise what they entered will be shown.

From the booking screen you can click "Edit" where it displays the referral source.

When editing you can create a new option or select a pre-existing one.

# Inserting Dynamic Variables in Contract Templates

When generating a contract, you can insert dynamic variables to automatically display specific charge types or amounts. This is particularly useful for values that may vary depending on vehicle, category, or location—for example, claim excess amounts.

Instead of manually entering these amounts in your contract, you can insert dynamic variables that will be automatically populated with the correct values at the time of agreement generation.

### Insert Into the Agreement

Click **Insert** to add the selected variable into the text. It will appear as a placeholder like this:

When the agreement is generated, the variable will be replaced with the actual charge amount specific to the customer's booking.

# Distance travelled overages

Loopit has the capability to charge overages for each booking.  For overages to be calculated a tracking device must be attached to a vehicle and successfully taking readings.

### How are overages calculated and billed?

If a booking has overages it is added to the *next* recurring invoice.  For example if a booking has weekly billing:

* Invoice for 1st July to 7th July
  * Customers allowance is 100km for the week
  * During this period the customer travels 110km
* Invoice from 8th July to 14th July
  * This invoice will include the charge for the 10km overages from the previous period.

### How are swaps handled?

If a vehicle is swapped during a booking the usage allowance will be pro-rated for any partial billing periods.  For example if a booking has 100km weekly allowance, the billing cycle is weekly and the customer swaps on day 5 of the weekly period a pro rata of (100km / 7 days \* 3 days remaining) will be added.

Any usage calculations require at least 2 readings from the same vehicle and same telematic device serial number.  This means when a swap occurs the new vehicle must have a valid reading for the usage to start calculating.

# Overview

Loopit offers a comprehensive invoicing solution that will get generated in one of 2 ways;  automated as part of a booking and ad hoc [once off invoices](/billing/invoices/one-time-charges-and-invoicing) that you can generate against a person or company.

#### Location

The location the invoice belongs to.  If you run multiple locations this enables accurate revenue reporting at the location level e.g. Show me revenue for damages in our London Heathrow Airport location.  If an invoice is generated automatically as part of a booking the location will be set as the *pick up* location of the booking.

#### Issued Date

The date the invoice was issued, this is not adjustable and will always be the current time of the invoice owner.

#### Due Date

The date at which the invoice is required to be fully paid, this can be set to any date including a date in the past.  For automatic invoices this is set based on the payment terms of the invoice owner.  It can be manually set for ad hoc invoices.

#### Timezone

Each invoice has its own timezone.  All dates e.g. issued, due date are stored in UTC.  Visually within the app the dates are shown relative to the owner of the invoice, either the company or person timezone when the invoice was created.  This ensures when communicating with a customer the dates are relative to the customer.

#### Sub total

The cost excluding taxes

#### Tax total

Amount of taxes due on the entire invoice

#### Total

A sum of sub total and tax total.  This is the due amount of the invoice.

#### Void reason

If the invoice is void, a reason will be shown

#### Overdue flag

A flag against each invoice is stored and available to show if an invoice is overdue.  This is calculated based on the due date being in the past and also the payment status being Unpaid or Partially Paid

#### Balance and payment totals

### Customising the invoice information

To change the invoice address it was issued by please update the location settings.  You can add additional text on to each invoice which is also managed by locations.


# Marking an Invoice Manually as Paid

In some cases, you may need to manually mark an invoice as paid—for example, if payment was received outside of the platform (e.g. by EFT or cash), or if the payment gateway failed to register the transaction.

As your business grows, you may find yourself needing to bill for new services, fees, or products not initially included in Loopit's default billing item list. This could include toll fees or fines incurred after a booking has ended, or incidental costs such as damage repairs.

Having consistent naming conventions for all billing line items is crucial for efficient reconciliation and understanding where your income is coming from.

# Overdue Invoices

The **Overdue Invoices Report** page provides a comprehensive overview of all invoices that are overdue for payment. This report is essential for tracking outstanding payments, managing late fees, and ensuring timely follow-up with clients. The report displays critical information about each overdue invoice, including the invoice number, client details, issued date, total amount due, outstanding balance, due date, days overdue, and status of automatic payment retries.

#### Automatic retry

This column provides an overview of the automatic payment retries that is built into the platform.  It also shows how many attempts have been made.  For further information see [payment retries](/billing/payments/payment-retry-dunning).

**Days overdue**

Quickly see how many days overdue an invoice is.  If the invoices is more than 5 days overdue the days will turn red to allow you to quickly see which invoices require attention.

### Overdue when a payment is processing

An invoice is considered overdue even if the payment has been initiated and is in progress.  We will  remove an overdue flag once the payment has successfully completed.&#x20;

Differences for Loopit 2.0: Your total overdue balance may appear higher as direct debit payments are processing.  We do not treat processing payments as successful whilst they are processing.

### Applying late fees to an invoice

From this report you have the ability to apply late payment fees.  If a late fee has already been applied you will see a green "Late fee applied" badge. To charge a late fee;

1. Click the action menu and select Charge late fee.
2. Select an [item](/billing/billing-items) (we automatically select an item if the name contains the word "late").
3. Enter the amount.  Default is 15 excluding [taxes](/billing/invoices/tax-types-and-rules).
4. Press Issue invoice.

The late fee invoice will automatically become overdue within a few minutes of being issued.  We will attempt to charge the late fee invoice within a few minutes of it being created.

# Applying Automatic Late Payment Fees

To help manage overdue invoices, Loopit allows you to automatically apply a **Late Payment Fee** after a set number of days past the due date. You can also customise how and when this fee is applied across your customer base.

## How to Enable Automatic Late Payment Fees

To set up late payment fees:

1. Go to **Settings** in the navigation menu.
2. Under the **Billing** section, click on **Late Payment Fee**.
3. Toggle **Enable Late Payment Fee** to turn it on.
4. Select an existing billing item to use as the late fee, or [create a new billing item ](https://docs.loopit.co/billing/billing-items#how-to-create-a-new-item)if needed.
5. **Type in the fee amount** you want to apply.

   > 💡 **Note:** This amount should be **exclusive of Tax/GST**.
6. Set the number of days after an invoice becomes overdue for the fee to be applied.
7. Choose one or more of the following options:
   * **Apply late payment fee to past due invoices**\
     This will apply the fee to invoices that are already overdue.
   * **Apply status to all companies and people**\
     This will enable late fees across all current and future accounts and their bookings.
   * **Apply late fee to next recurring invoice for active bookings**

     When this setting is enabled and a booking is active with an overdue invoice, the system will automatically include the late payment fee on the next recurring invoice, will not re-apply it if manually removed by a user from pending invoice, and still permits manual application from the Overdue Invoices list.

## Exclude Bookings from Late Payment Fees

If you need to **exclude specific bookings** from having a late payment fee applied:

1. Navigate to the booking in question.
2. Click on the **Billing** tab.
3. Go to **Settings** within the billing section.
4. Disable the option for applying late payment fees for that individual booking.

# Void an Invoice

Voiding an invoice permanently cancels an **unpaid** invoice so the customer won't be charged. You can only void invoices where **no payment has been made**.

**Important:** Voiding cannot be undone. Make sure you really need to void the invoice before proceeding.

## When can you void an invoice?

You can **only void** an invoice when:

* The invoice status shows **"Issued"**
* The payment status shows **"Unpaid"**, **"Failed"**, or **"Cancelled"**
* **No payments have been made** on the invoice
* There are **no pending payments** waiting to process

**If any payment has been made:** You cannot void the invoice. You can only adjust the remaining unpaid balance.

Navigate to the unpaid invoice you want to void and click to open the invoice details page.

Look for the **"Adjust"** button on the invoice page and click it. This will open the adjustment dialog.

* **Adjustment amount:** Enter the **full invoice amount** (since no payments have been made, this equals the total invoice amount)

### Apply the adjustment

Click **"Apply adjustment"** to complete the voiding process. The invoice will be marked as void.

## What if the invoice has been partially paid?

If any payment has been made on the invoice, **you cannot void it**. Instead, you can only:

* **Adjust the remaining balance** by entering the unpaid amount
* Example: $100 invoice with $60 paid → You can only adjust the remaining $40

### What happens after voiding?

* The invoice is permanently marked as voided
* No payment attempts will be made
* The customer will not be charged
* The voided invoice remains in the system for record-keeping


# Statement of account

Loopit makes it easy to send a statement of a person or companies invoices.  The statement of account can be generated with only overdue invoices or all issued invoices regardless of payment status.  It can be used as an effective tool should a customer get into a situation of multiple overdue invoices.

### How do I generate a statement?

# Emailing invoices

When an invoice is issued and the appropriate email templates/workflows are configured the invoice is sent to the customer as a PDF.

> If you haven't set up email template and workflow yet, kindly check the steps at the very bottom of this page to configure it.

### Can I send invoices to a different email?

Yes, you can set an email for invoices to be sent to regardless of the email for that person/company.  To do this find the person/company go to overview tab and update the field labelled "Email invoices to"&#x20;

### Can I send invoices to multiple emails?

Yes, similar to sending to a different email the "Email invoices to" field accepts a comma-separated list of emails e.g. <accounts@yourcustomer.com>,<peter@yourcustomer.com>

### Can I turn off invoices being emailed to customers?

Yes, to do this remove any emails from the "Email invoices to" field.  No invoice emails will be sent regardless of workflow configuration.

# Ad Hoc Billing & Invoices

## Overview

This feature allows users to schedule charges to the next invoice date for subscription-type bookings. Users can add specific charges, such as tolls and fines, which will be merged into the next recurring invoice. This can only be done for bookings with the program type "Subscription.

## How to Schedule Charges

1. Navigate to Booking Invoices
   * Go to **Booking → Billing → Invoices**.
   * Click on **New Invoice**.
2. Add Charges
   * Add items such as **toll charges** or **fines**.<br>

3. Schedule Charges to the Next Recurring Invoice

   * Any new charges scheduled for the Next Recurring Invoice will be added to the existing Pending Invoice. If no Pending Invoice exists, a new one will be created to hold the scheduled charges.

## Viewing and Managing Pending Invoice

A **Pending Invoice** refers to an invoice that contains charges scheduled to be merged into the next recurring invoice for a subscription-type booking. These charges are kept as pending and are not immediately issued. The Pending Invoice serves as a temporary holding place for these scheduled charges, allowing users to view, edit, and manage them (e.g., adding or removing items) before they are finalised.

The pending invoice can be found at the **top of the Booking → Billing → Invoices** list with the type **Pending**. This invoice only includes charges scheduled to be merged into the next invoice and does not contain the recurring charges for the booking.

### Editing the Pending Invoice

* Clicking on the **Pending Invoice** opens the **Pending Invoice Edit Page**, where users can remove or add items.<br>

# Draft Invoices

Draft Invoices allow you to **create and manage invoices over time before issuing them to the customer**.\
They’re especially useful for adding ad-hoc or post-booking charges like tolls, fines, or repairs — giving you flexibility to accumulate costs as they arise and only issue the invoice when you’re ready.

### When to Use Draft Invoices

Draft invoices are ideal when you want to:

* Add and edit charges progressively rather than issuing an invoice straight away
* Consolidate additional costs after a booking has ended (e.g. tolls, fines, damage)
* Review proposed charges internally or share a PDF with a customer before issuing
* Avoid impacting reports or balances until the invoice is final

You can have **multiple draft invoices per booking**, and each remains fully editable until issued.

### Creating a Draft Invoice

You can create a draft invoice from either the **People** or **Booking** view:

1. Go to **Billing > New Invoice**
2. Add the relevant line items and charges
3. Select **Save as Draft**

A draft invoice will then appear under the **Invoices** tab for that booking, clearly marked as **Draft**.

### Managing Draft Invoices

Draft invoices remain fully editable and can be opened at any time to:

* Add or remove line items
* Update quantities or rates
* Save changes without issuing

This is particularly useful for accumulating **post-booking charges** such as:

* Toll fees
* Traffic fines
* Reconditioning costs

You can maintain **multiple draft invoices** against a single booking, allowing flexibility in how you group and manage charges.

### Editing and Actions

Each draft invoice includes a contextual menu (**⋯**) where you can:

* **Edit Draft** – Open and modify line items, descriptions, or totals
* **Delete** – Permanently remove the draft invoice
* **Download PDF** – Generate a downloadable copy for review or internal use

### Issuing a Draft Invoice

Draft invoices are **not yet issued**, which means:

* They **do not** appear in invoice reports
* They **do not** contribute to overdue balances
* Payments **cannot** be processed against them
* Credit notes and adjustments **cannot** be applied

When you’re ready to issue an invoice:

1. Open the draft invoice
2. Select **Save & Charge Now**

This will issue the invoice and process it according to the billing settings of the associated customer or booking.

### Adding to Recurring Invoices

For **active recurring bookings**, you can also choose to include additional charges in the **next recurring invoice** instead of issuing a separate one. This provides a streamlined way to consolidate extra fees with regular billing cycles.

## Upload the Spreadsheet

Once your spreadsheet is complete:

1. Return to the **Bulk Charges Import** screen
2. Upload your file
3. Loopit will begin processing and matching charges to the appropriate bookings — this may take a few moments. You can safely navigate away during this time.

## Review and Approve

When processing is complete, the import will show a status of **Awaiting Approval**.

1. Open the import to review results:
   * See how many rows were successfully matched
   * Identify any errors
   * View the list of charge line items and matched bookings
2. If needed, click **Download Results** to export the import summary as a CSV
3. Fix any issues in the spreadsheet and reupload if necessary

## Process the Charges

Once you're happy with the results, click **Process Charges**.

Loopit will raise the charges against each matched booking — this may take a few moments, and you’re free to navigate away in the meantime.

When complete, return to the import screen to view the final outcome.

## Identifying Date Formats

In the **Date Format** column of your spreadsheet, enter the format that matches how the date appears in the **Created On** column. This ensures Loopit can read and process the charge date correctly.

Here are some commonly used formats you can copy and paste:

# Payments


# Overview

Loopit currently supports the following payment providers and methods

### Multiple providers

You can connect multiple providers to your workspace.  This allows you to use both off platform and other providers at the same time.  Different currencies can be configured to use different providers e.g. USD on Stripe, AUD on Adyen.

### Payment holds

Loopit supports the ability to take payment holds for deposits.  Holds on a card are typically used for security deposits.  You can configure any deposit charge on an invoice to be a payment hold instead of a capture.  Holds can be configured to be held up to a maximum of 7 days (\*5 days for Visa) which is typically the point a card provider, e.g. Mastercard/American Express, will automatically release the hold and the funds back to the card holder. Keep in mind holds are not guaranteed to be able to be captured - a card owner or issuer can reverse a hold at any point in time meaning you cannot capture the funds.

#### Payment status

#### Timezone

All payment dates are stored in UTC.  Visually within the app the dates are shown relative to the owner of the payment, either the company or person timezone.  This ensures when communicating with a customer the dates are relative to the customer.


# Stripe integration

Stripe is supported natively by Loopit and can be connected to accept a range of payment methods.  To see which methods are available please check the [overview here](/billing/payments/overview).

## Set up

Follow these three steps to connect an account you already have or create a new one:

### Locate the Stripe gateway, click the 3 dots menu and select "Setup"

You will be redirected to Stripe to complete the connection process

Once the connection has been made and verified by Stripe the status will change to **Complete**.  If the process failed to complete or was stopped midway the status will be **Pending**.  To resume setting up follow the steps above.

# AU Becs Direct debit

Loopit supports AU BECs direct debit via Stripe.  AU BECs is a delayed notificaiton (asynchronous) form of payment, this means that it can take up to four business days to receive notification on the success or failure of a payment after you initiate a debit from the customer’s account.

For new customers, Australia BECS Direct Debit transactions have a default limit of 1,500 AUD per transaction and 4,500 AUD per week. If you need higher limits, contact Stripe [support](https://support.stripe.com/contact) directly.

### Payment status

When a direct debit is initiated the payment status will be "Processing" until it either changes to "Success" or "Failed".  To see why a direct debit failed you can navigate to the payments list and hover over the "Failed" Status.

### Invoice payment status

When the first attempt for a direct debit is initiated the invoice remains as "Unpaid".  On the invoices list it will have a label "Payment processing", this means the direct debit is in progress and has not yet been successful or failed.

If the payment fails the invoice status will changed to "Failed" or "Paid" in the case of a success.  Further attempts will not change the invoice payment status until it has a successful payment.

### Overdue balances

An invoice is considered overdue even if the payment has been initiated and is in progress.  We will  remove an overdue flag once the payment has successfully completed. &#x20;

Differences for Loopit 2.0: Your total overdue balance may appear higher as direct debit payments are processing.  We do not treat processing payments as successful whilst they are processing.

# Payment retry - Dunning

When an invoice that is eligible for [auto pay](/billing/payments/auto-pay) fails to process it enters a dunning process.  By default the platform attempts to take payment 3 times automatically, every 48 hours, for invoices that fall under the dunning process, deposit and ad hoc invoices are not included.  If the payment fails for a 3rd time we will cease attempting to automatically take payment and you will need to process the payment manually via "Pay invoice".

Attempting too many times can cause your account to get flagged by payment processing networks like Visa and Mastercard.  Loopit takes a cautious approach whilst minimising risk of overdue balances.

If you are using our API the field `payment_attempts` will show the number of *automated* attempts made.

### How often attempts are scheduled

If a payment fails then a re-attempt, up the maximum retries configured, will be scheduled for 24 hours later.  This gives an adequate opportunity for the booking applicant to resolve the issue.

If you are using our API the field `payment_charge_at` is the UTC time the next attempt will be made.

### How to stop automatic attempts

To prevent the platform from automatically attempting an invoice again you can disable the automatic attempt.

#### From the overdue invoices report

Click on the action menu and select "Disable next retry".  Confirm you wish to disable.

#### From the invoice overview page

From the overview section click "Disable automated payment retry" and confirm you wish to disable.

# Auto pay

The Loopit platform will automatically attempt to collect payments on system generated invoices e.g. monthly subscription invoice.  The platform will not attempt to automatically take payment for;

* **Manually created ad-hoc invoices** - select "Pay invoice" from dashboard.
* **Deposit invoices** - payment is processed based on the package configuration.

### When does payment get taken?

By default payment is set to be taken on the invoice due date for each booking, i.e. auto pay enabled.  To see exactly when an automatic payment attempt will be made navigate to the invoice overview or for overdue invoices navigate to the Overdue Invoices report.

### How do I change the auto payment setting for a booking?

Each booking can have automatic payment turned changed as needed.  To change the behaviour;

1. Go to the booking
2. Select Billling tab
3. Select Settings tab
4. Set the desired option and click Save

### What are the options for auto pay?

There are three options as follows;
